JOB SUMMARY: 

The Entertainment team is looking for an experienced, high-level Coordinator to help lead projects and execute VIP initiatives. The role will be based out of Las Vegas. 

The ideal candidate will have strong attention to detail, solid knowledge of basic business practices, and excellent oral and written communication. Ideal candidates will excel in a fast-paced environment while supporting strong personalities. 

ESSENTIAL JOB FUNCTIONS:

  • Assist in the advancement of talent logistics and schedules at assigned events.
  • Collaborate & assist with artist travel planning, including ground transportation plans, arrivals maps, etc.
  • Advance and coordinate backstage layouts, orders and build outs onsite (dressing rooms, catering, furniture, makeup etc.).
  • Maintain budgets, spreadsheets and databases 
  • Support on-site talent department operations (staff travel, day sheets, office setup).
  • Travel for meetings and events, work long hours on-site including weekends and holidays pending the event calendar with and maintain office presence when not on-site.
  • Executive administrative responsibilities - manage business calendar, schedule internal and external meetings, submit expense reports, coordinate travel for SVP
  • Act as a point of contact for internal team, clients, and external partners - responsible for information flow, coordination of logistics for meeting, execution of organizational responsibilities as needed
  • Drafts committee and leadership agendas; coordinates preparation of agenda materials; prepares agenda packets; posts agendas at meeting location and on website; emails links to agendas posted on website and mails hardcopies of the agenda packets; attends leadership meetings and electronically records meetings
  • Receive, screen, and follow-up all communications via phone, email, and mail
  • Prepare extensive domestic and international travel arrangements including air, hotel and transportation reservations, mileage programs and upgrades with the ability to make frequent and last-minute changes
  • Manage and maintain calendars including coordinating and scheduling A&R/studio sessions, promotional activity, travel, meetings, etc
  • Attend and participate in company meetings, shows / events, as on-site support, and a representative of the company as required
  • Purchases supplies for meetings and authorizes payment for travel, training, professional memberships, subscriptions, and to vendors and service providers;
  • Maintain master trackers for ticketing, marketing, and settlement
  • Assist event creation with required audits including MICS monthly event audits and monthly active user audits.
  • Establish and maintain positive working relationships with key venue/property/third party stakeholders (Hotel Operations, Concierge, Transportation, Food & Beverage Management, etc.) to ensure seamless integration of support as needed and ability to fulfill last- minute requests 
  • Assist with ticketing packages that require lodging and F&B  
  • Own processes and tasks related to the VIP activation
  • Provide support to the larger Entertainment events 
  • Contract work with legal
  • General new entertainment business inquiries
  • Executing artist gifting
  • Assisting with any opening night/VIP events 
  • Coordinate citywide emails with marketing
  • Social media for Entertainment venues
  • Maintain calendar of special Artist occasions and show anniversaries
  • Organize the calendar for all Entertainment team FTO requests
  • Assist with monthly P&L reviews, invoice approvals and keep up to date LET calendars
  • Coordinate ticket requests and proper notifications for any VIP celebrity guests that attend show
  • Order office supplies entertainment offices
  • Exhibit sound judgement when making decisions that affect the flow of proprietary information related to the Entertainment department
  • Respond quickly and courteously to staff and partner needs, questions, comments, or concerns with answers and/or action
  • Prepare assigned reports as directed
  • Responsible for scheduling staff meetings and other meetings as needed

QUALIFICATIONS:  

  • Enjoy working within a team
  • Ability to provide quality customer service
  • Ability to solve problems quickly and courteously
  • Excellent communication and problem-solving skills, including ability to maintain composure under stress
  • Full-time, flexible shifts, available to work nights and weekends, including holidays
  • Prior coordination experience preferred. Experience in a theater/show/event setting is highly desired
  • Understand and adhere to established policies and procedures
  • Computer skills (Word, Excel, Outlook)
  • Education: Bachelor degree preferred; high school diploma
  • Experience: Minimum two years of supervisory and/or casino showroom experience

PHYSICAL, MENTAL AND ENVIRONMENTAL DEMANDS:  

  • Computer skills (Word, Excel, Outlook)
  • Ability to work in loud showroom environment
  • Ability to repeatedly climb stairs up and down
  • Ability to lift 75 lbs. items such as stanchions, boxes, chairs, tables etc.
  • Ability to stand/walk for long periods, sometimes for the entire duration of the show/event.
  • Ability to multitask
